ADMINISTRATIVE AND GRANT ASSISTANT JOB DESCRIPTION

 

PURPOSE:

Supervised by the Executive Director, the Administrative Assistant manages the Foundation office administration and assists with grantmaking in furtherance of the Foundation’s mission to preserve and enhance the natural beauty and cultural assets of Knoxville, and enrich the quality of life for the people who live there. The Foundation is a catalyst for progress, advancing the quality, beauty, livability, and sustainability of the Knoxville community. 

 

PRIMARY RESPONSIBILITIES:

 

 

  • Process and distribute all incoming mail, and forward invoices and purchase orders to the proper departments.
  • Perform receptionist duties, greeting visitors and taking all incoming calls. 
  • Organize and manage electronic and paper files.
  • Liaison with office contractors including IT, leasing company, cleaners, etc. 
  • Manage grant correspondence and recordkeeping. 
  • Assist in reading grant applications.
  • Schedule meetings for the Executive Director and Board of Directors.
  • Prepare for board meetings. 
  • Maintain office in a clean and ordered condition.
  • Produce and distribute correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports and presentations.
  • Book travel arrangements. 
  • Ensure operation of office equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Carry out administrative duties such as typing, copying, binding, scanning etc.
  • Reply to email, telephone or face to face enquiries
  • Develop and update administrative systems to increase efficiency.
  • Other duties as assigned.

 

 

 

KNOWLEDGE, SKILLS, AND EXPERIENCE:

  • College degree required, Humanities degree a plus. 
  • Minimum 2 years administrative experience, preferably in a small team environment. 
  • Mac proficient. 
  • Excellent time management skills and ability to prioritize responsibilities.
  • Excellent verbal and written communication skills including a high level of emotional intelligence.
  • Excellent organizational skills and attention to detail.
  • High level of professionalism, discretion, and judgement.
  • Interest in and passion for charitable causes. Nonprofit experience a plus. 
  • Pro-active and self-motivated.
